Star Sports collects information to register athletes, process payments, and run programs. This policy explains what we collect, how we use it, and the choices you have.
Every player in our programs is a child, so almost everything we hold is about a minor. We treat that as the starting point rather than an exception.
A parent or guardian gives us the information — never the child. There are no child accounts, no child logins, and nothing on this site is directed at children to fill in. You provide your child’s details when you register them, and you can see, correct or delete them at any time (see Your data rights).
We ask for the least a program needs to run safely, and we do not use a child’s information to advertise to them or sell it to anyone. Ethnicity is voluntary, asked only for grant reporting, and leaving it blank changes nothing about your child’s place.
These three are the most sensitive things we hold, so they are handled differently from everything else. They are encrypted where they are stored, and only the Star Sports owner can open them.
Coaches never see the details. A coach taking the register sees your child’s first name, last initial, jersey number, and a flag that says there is an allergy on file — nothing more. A coach who needs specifics asks the owner.
We are not a medical provider and this is not a medical record. We hold what you tell us so that someone can act quickly if your child needs help.
Only if you said yes. Permission is a separate, optional checkbox when you register. It is not required, your child’s place does not depend on it, and if you leave it unticked we do not use images of your child to promote Star Sports.
If you did say yes, photos and video from sessions and events may appear on our website, our social media, and printed material. You can withdraw permission at any time by emailing us and we will stop using new images of your child. Material already printed or already posted and shared onward cannot always be recalled, which is the honest limit of what withdrawing can do.
Guardian contact details, athlete registration details, and payment confirmations. Payments are processed by our payment provider — we never store full card numbers.
Registration also collects, for each child: nationality, t-shirt size, preferred jersey number, an emergency contact, and any allergies or medical needs you tell us about. We also ask, optionally, whether you work in the medical field, so staff know who they can call on in an emergency. Families who registered before October 2026 may also have a primary-care physician on file from the earlier form.
Allergies, physician, and emergency-contact details are treated as restricted: they are stored encrypted, shown only to program staff who need them for your child’s safety, and never included in analytics or marketing. Coaches taking attendance see only that a child has an allergy on file — never the details.
Photo permission is optional and separate. If you give it, photographs or video from sessions and events may be used on our website and social media; if you don’t, your child is excluded. You can change your mind at any time by emailing us.
Our parents’ WhatsApp channel is run by WhatsApp, not by us. Joining is optional, your number is visible to WhatsApp under its own terms, and you can leave at any time.
To run registrations and programs, send program-related messages, and — only with your consent — occasional marketing. You can unsubscribe from marketing at any time via the link in any message.
You can ask to see everything we hold about your family, to have something corrected, or to have it deleted. Email StarSportsLTJ@gmail.com, and we will reply within 30 days. We check you are the guardian on record before we act, because the whole point is to protect the family the record belongs to.
You can also change your photo permission, or unsubscribe from emails using the link at the bottom of any message we send. Unsubscribing stops marketing; we will still email you the things you need about your child’s program.
These are commitments we make, not a legal minimum we are meeting — so if we ever fail one, tell us and we will fix it.
Allergy, physician and emergency-contact details are encrypted where they are stored. Access to family records is limited to the Star Sports owner, and administrative actions are logged. Coaches work from a register that deliberately does not contain those details.
No system is perfectly secure, and we would rather say that than imply otherwise. If a breach affected your family’s information, we would tell you — and the New York Attorney General, the Department of State and the State Police — as New York law requires, without unreasonable delay and in any event within 30 days of confirming it.
We keep your family’s record while your child is taking part, and for a limited time afterwards so we can answer questions about a past season. Then it goes:
You can ask us to delete your family’s information sooner (see Your data rights). Where we must keep a record — a paid invoice, for example — we will say so rather than delete it quietly.
